Manage your team

Create staff accounts, set location access, and control what each person can do

Store owners can add staff so managers, kitchen, and front-of-house can sign in to the vendor app (and mobile app) without sharing the owner login.

Staff accounts are managed from the Locations page under the Team section. Only the store owner sees Team; other staff see their assigned locations but cannot add or edit people.

Before you begin

  • Sign in as the store owner.
  • Open Locations (the page that lists your stores after sign-in).
  • Scroll to the Team card (below Locations, above Add-Ons when those are shown).

Add a staff member

  1. On Locations, open the Team section.
  2. Select Add Staff.
  3. Fill in Account details:
    • Username — what they type at sign-in (must be unique across Pavement, not just your store).
    • First name / Last name — optional; shown in the team list.
    • Email — optional but recommended for password recovery.
    • Password and Confirm password — see Password rules.
  4. Set Location access (see below).
  5. Set Permissions (see below).
  6. Select Create staff member.

The new person can sign in with the username (or email, if you provided one) and password you set. They land on Locations and only see stores/locations you assigned.

Usernames must be unique platform-wide. If KitchenManager is already taken by another business, choose something specific to your store (for example acme-kitchen) or use a person-based name. Prefer a real email so they can reset their password later.

Password rules

Staff passwords must meet all of the following:

  • At least 8 characters
  • At least one number
  • At least one special character

Share the temporary password securely and ask them to change it after first login when you use email-based recovery.

Location access

Choose where this person can work:

Staff who are not assigned to a location will not see it in the list after sign-in.

Permissions

New staff start with Orders only until you turn permissions on. Orders (board, history, time control) stay available at their assigned locations even when every permission below is off.

Store owners always have full access; these toggles do not limit the owner account.

Manage or remove staff

In the Team list:

  1. Select Manage on a person to change location access or permissions. Username is read-only after create.
  2. Select Remove to take them off this store. Confirm when prompted.

Removing staff from the Team list stops their access to this store. Contact Pavement support if you also need the login fully deactivated elsewhere.

What staff see after sign-in

  1. They sign in the same way as owners — see Sign in to the vendor app.
  2. On Locations, they only see locations they can access.
  3. Inside a location, the sidebar hides areas they are not allowed to use (Menus, Settings, Designer, Integrations).
  4. They do not see Team, Add-Ons, or Manage Billing.

On the mobile app, staff use the same login and only see assigned locations for orders and related floor tools.

Troubleshooting
